Features Activation

Abbreviated Dialing

To program or reprogram a Speed Dial or Auto Dial button on multi-line sets only:

  1. Pick up the handset.
  2. Press PROGRAM or dial the Auto Dial program code #80. (listen for a dial tone)
  3. Press button to be programmed. (listen for a dial tone)
  4. Dial the outside number, extension, or feature code you want to store (up to 24 digits).
  5. Press the AUTO DIAL button again. (listen for a confirmation tone)
  6. Hang up to end programming, or repeat steps 3-5 to program more buttons.

To place an Auto Dial call, press the selected AUTO DIAL button. (listen for a ringback tone) The call is then dialed silently.

To program on a single-line set (models: 8110/6220 only)

  1. With handset on-hook, press PROGRAM. (listen for a dial tone)
  2. Press the blank speed dial button you wish to program. (listen for a short interruption in the dial tone)
  3. Dial the telephone number you want programmed on this button. (listen for short breaks in the dial tone)
  4. Press the speed dial button.
  5. Press PROGRAM again to stop programming.

To program or reprogram an outside number, extension, or feature code into a PERSONAL LIST for multi-line and single-line sets.

  1. Pick up the handset.
  2. Press PROGRAM or dial the Auto Dial program code #80. (listen for a dial tone)
  3. Dial the Personal List number (1, 2, or 3). (listen for a dial tone)
  4. Dial the list item (1, 2, 3, or 01, 02, 03 if list is larger than 10). (listen for a dial tone)
  5. Dial the number you want to store (up to 24 digits).
  6. Press #. (listen for a confirmation tone)
  7. Return to step 5 or hang up to end programming.

To place a call using an Auto Dial list code

  1. Dial the Auto Dial List code *0. (*1 if list is on list field 2 of station form, and *6 if list is on list field 3 of station form)
  2. Dial the desired list item (1, 2, 3, etc.) or (01, 02, 03 if list is larger than 10).

Automatic Call Back

To automatically place another call to an extension that is busy or does not answer

  1. Press CALL BACK or *5 after hearing busy signal or while phone is ringing. (listen for a confirmation tone)
  2. Hang up.

To cancel Automatic Call Back

  1. Press CALL BACK again or dial the Automatic Call Back cancel code, #55. (listen for a dial tone)
  2. Hang up.

Call Coverage

To answer a call for a coworker for whom you are a coverage point, press xxxxx line of the incoming call when the phone begins ringing or the green light flashes.

To Transfer a call directly to the voicemail box of the extension called originally:

  1. Press TRANSFER or RECALL while connected to the call. (listen for a dial tone)
  2. Dial #89.
  3. Press TRANSFER or RECALL
  4. Once you have heard the name of the correct party in voicemail, hang up.

Call Forward

To temporarily redirect all calls to an extension or outside number of your choice

  1. Press CALL FWD (while on-hook or off-hook) or dial the Call Forward code *2. (listen for a dial tone)
  2. Dial the extension or number where calls will be sent. (listen for confirmation tone)
  3. Hang up.

To cancel Call Forwarding

  1. Press CALL FWD again (while on-hook) or dial the Call Forward Cancel code #22. (listen for confirmation tone)
  2. Hang up.

Note: Call Forward overrides Call Coverage. If no answer at forwarded destination, calls will revert back to coverage path.Remote Call-Forwarding requires a change in class of service from OIT.

Call Park

A call can be parked at your extension for retrieval at any extension. If a button has been assigned to your voice terminal, simply press CALL PARK , then your extension, and hang up; otherwise follow the instructions below. From a Single Line Set

  1. Press TRANSFERRECALLLINK, or FLASH. (listen for a dial tone)
  2. Dial the Call Park code #70. (listen for confirmation tone)
  3. Dial your extension.
  4. Press TRANSFERRECALLLINK, or FLASH again.
  5. Hang up.

From a Multi-line Set with the Call Park button

  1. Depress CALL PARK.
  2. Hang up.

Retrieve a parked call from any extension

  1. Dial the Answer Back code #77.
  2. Dial the extension where the call is parked. (listen for confirmation tone)

Call Pickup

To answer a call placed to a member of your pickup group when your telephone is idle, press PICKUP or dial the Call Pickup code *7.

Call Waiting (single-line sets only)

To answer a call waiting tone

  1. Complete the present call and hang up.
  2. Pick up and answer.

To answer a call waiting tone, putting present caller on hold

  1. Press or flash the switchhook. (listen for a dial tone)
  2. Dial the Hold code *4 (*H).

To return to the held call

  1. Complete the present call and hang up.
  2. Answer held call.

Conference

From multi-line set

To add another party to a call (for a total of up to six parties from a multi-line set):
  1. Press CONFERENCERECALL, or FLASH.
  2. Dial the number of the new party and wait for an answer.
  3. Press CONFERENCEJOINRECALL, or FLASH again. (Display will show number of parties currently conferenced)
  4. Repeat steps 1-3 for each additional party. (96xx telephones will indicate ADD instead of CONERENCE to add more parties.)
To add a call you have put on hold to another call to which you are connected: Multi-line sets only:
  1. Press CONFERENCE. (listen for a dial tone)
  2. Press xxxxx of the call on hold (first call).
  3. Press CONFERENCE again.
Press DROP to drop the last party added to a conference call. *Note: This applies to multi-line sets only. To release yourself from the conference call, press the switchhook or RELEASE. *Note: When conferencing parties outside of the same system, if you wish to release yourself from the conference call, at least one of the outside parties must have called you, or the joined parties will also be disconnected. To Mute a party in a conference call (**only available on 96xx telephones with enhanced conference feature buttons):
  1. Depress CONF-DSP button until the display reflects the party you wish to mute.
  2. Depress FEMUTE or SILENCE to mute the party.
  3. Advise party they will be muted, and they can unmute at any time by depressing the # key.

From single-line set

To add another party to a call (for a total of up to three parties from a single-line set):
  1. With the first party on the line, press FLASHLINK, or the switchhook.
  2. Dial the number of the new party and wait for an answer.
  3. Press FLASHLINK, or the switchhook again and introduce the parties.

Meet-Me Bridge

Set up a Meet-Me Conference Call

Conference bridges may be purchased in 6-party personal and 25-party expanded capacities.

  1. Notify parties of bridge telephone number and 6-digit CAC (Conference Access Code) along with your conference time.
  2. Call at designated time. Announcement will indicate if you are first to join or call is in progress.
  3. Introduce parties and begin the conference.
  4. A tone will indicate entry of a new caller and departure of parties from the call.

Change Meet-Me Conference Access Code

One user per administered bridge may be designated per Meet-Me to change the CAC.

  1. From the Meet-Me Conference Controller telephone, get dial tone and dial #98. (listen for a dial tone)
  2. Enter the Meet-Me Conference number and press #.
  3. Enter the existing Conference Access Code and press #. (listen for a dial tone)
  4. Enter the new Conference Access Code and press #. (listen for a dial tone)
  5. Re-enter the new Conference Access Code and press #. (listen for a confirmation tone)
  6. Hang up.

Contacts (available on 96xx IP telephones only)

Adding a New Contact

You can add up to three numbers for a contact.
  1. Press Contacts.
  2. Press More then press New
    • Press New if this is your first time you are entering a contact.
  3. Enter the name using the dialpad by pressing the number key which corresponds to the letter or number to be entered.
    • Pause before entering the next character if the characters are on the same key.
    • Bksp deletes the last character.
    • If entering letters and you want to enter numbers, select More, then 123.
    • If entering numbers and you want to enter letters, select More, then Abc.
    • To enter special characters or symbols, press More, then Symbols.
    • To delete the selected field, press Clear.
  4. Use the arrows to move to the next field and enter the contact number.
    • Press Primary if applicable. The primary number will always display without having to go into contact details.
  5. Select the next field.
  6. Select the type of number entered (general, work, mobile, or home).
  7. To enter another number for this contact, scroll down & repeat steps 4 - 6.
    • Up to 2 additional numbers can be entered for this contact, but only one can be designated as primary.
  8. Press Save or OK.

Editing Contacts

  1. Press Contacts.
  2. Search for and select the contact you want to edit.
  3. Press More, then Edit.
  4. Select the field you want to edit and use the dialpad and softkeys to make changes.
  5. Press Save or OK.

Deleting Contacts

  1. Press Contacts.
  2. Select the contact you want to delete.
  3. Press More, then Delete.
  4. Press Delete again to confirm.

Contacts Pairing

When a call comes into the phone, the Contact Pairing feature will search through the Contact list for the number. If the number is found, the name associated with the number in the Contact list will be displayed on the phone along with the number. Setup:
  1. Press Menu.
  2. Select Options & Settings or Phone Settings, then press Select or OK.
  3. Select Call Settings, then press Select or OK.
  4. Scroll to and select Pair Contacts to Calls.
  5. Press Change or OK to set the option to On or Off.
  6. Press Save.

Contacts Search

The Contacts Search feature helps the user locate a name in the Contacts list quickly. This prevents the user from having to scroll through several pages to get to a number in the middle of their Contacts list.

Importing Contacts

  1. Use the Contact Import Tool to export your contact list from Microsoft Outlook or a .CSV file.
  2. Plug the USB flash drive into the jack near the top left edge of the phone.
  3. On the display, select either Replace phone contacts with file or Merge file and phone contacts.
    • Note: Selecting Replace will erase ALL contacts currently on the phone.
  4. Press Select or OK.
    • Review the statistics on the phone's display to confirm the number of contacts imported and any errors which occurred.
Note: If an error is received, change the IEEE switch on the bottom of the phone to High.

Backup Contacts

Contacts should be backed up to a USB flash drive for safekeeping in the event the phone needs to be replaced or a malfunction occurs. Contact lists can only be retrieved from a copy on a USB flash drive, system administrators cannotretrieve or move contact lists.
  1. Plug the USB flash drive into the jack near the top left edge of your phone.
  2. On the display, select Write file with phone contacts.
  3. Press Select or OK.
  4. When prompted, press Save to save a copy of the contact list to the USB flash drive.
Note: If an error is received, change the IEEE switch on the bottom of the phone to High.

Voice Dialing

  1. Press Contacts.
  2. If no check mark appears next to the Voice softkey, press Voice.
    • Note: To turn on voice-initiated dialing for every contact see Voice-Initiated Dialing Setting below.
  3. Say the name of the person you want to call exactly as the name is entered in your contacts list.
    • If a contact has multiple entries, you can follow the name with a qualifier: general (primary number), at home, at work, at office, mobile phone, mobile, cell phone, cell.

Directory (integrated display feature for multi-line sets only)

To search the directory for a name

  1. Press DIRECTORY.
  2. Key in the selected name with dial pad: last name first. (use the number 1 in place of comma)
  3. Press NEXT for each successive directory name you wish to see. (scroll alphabetically)
  4. To search for a new name, begin again at Step 1.
  5. Press EXIT or NORMAL or PHONE to return display and keypad to normal.

To place a call to the name shown

  1. Lift the handset.
  2. Press CALL DISPLAY or MAKE CALL while the name is shown.
  3. Press EXIT or NORMAL to return display and keypad to normal.

Drop (multi-line sets only)

To disconnect from a normal call and obtain dial tone without hanging up the handset, or to drop last party conferenced, press DROP.

Exit Menu & Restore Normal Display (multi-line sets only)

Press EXIT or PHONE to return display and keypad to normal after using Navigation/Menu keys or Directory Feature.

Go To Cover (multi-line sets only)

When calling a party which you know is not available, but "Coverage" is not activated, press GO-TO-COVER while telephone is ringing. This will bypass the 3 to 6 rings before coverage to voicemail or other destination.

Hold

Multi-line sets

To place a call on hold, press HOLD. To return to the held call, press line appearance of the held call. To answer a new call while active on another

  1. Press HOLD.
  2. Press line appearance of the incoming call.

Single-line sets

To put caller on hold

  1. Press RECALL or FLASH, then dial *4 (*H).
  2. Place handset in cradle.

To return to the held call

  1. Depress switchhook and telephone will ring.
  2. Answer call and speak with held party.

Inspect (display feature)

To see who is on hold while on a call

  1. Press INSPECT.
  2. Press xxxxx of the held call.

Last Number Redial

To automatically redial the last number you called, press LAST DIALED or the Last Number Dialed feature code #73 .

Note: Up to 24 digits can be redialed (extension, outside number, or trunk/feature code).

Menu Keys (only on select models)

  • Press MENU or Navigation buttons to access feature buttons on soft menu keys.
  • Press PREV / NEXT or Navigation buttons to scroll through menu feature buttons.
  • Press key below (or to the right of) the feature you wish to select.
  • Press EXIT or PHONE to return display to normal when no longer accessing features on Menu keys.

Mute

To prevent the other party from hearing you

  1. Press MUTE.
  2. When you are ready to resume your conversation with the other party, press MUTE again.

Self-Test

To test the lights and ringer of your voice terminal

  1. While on-hook, press and hold TEST.
  2. Release TEST to end.

Send All Calls

  • To send all calls (except priority calls) immediately to coverage, press SEND CALLS or while on-hook dial the Send All Calls code *8. (listen for confirmation tone)
  • To cancel Send All Calls, press SEND CALLS again (while on-hook) or dial the Send All Calls Cancel code #88. (listen for confirmation tone)
  • Note: on 8410 telephones, press SAC or SEND on menu/display keys.

Telecommuting & Mobility Features

Telecommuting Access Numbers:

Remote Forwarding

* Remote Forwarding feature first time setup must be requested through OIT. To ACTIVATE:

  • Depress Forward button on desk phone, followed by forward # (include 9 if forwarding to outside number). Button will indicate active. or
  • From any phone other than your desk phone:
    1. Call Telecommuting Access number. (listen for a dial tone)
    2. Enter Activation feature code #52. (listen for a dial tone)
    3. Enter extension, press #.
    4. Immediately enter security code provided by OIT, press #. (listen for a dial tone)
    5. Enter the forward destination telephone number (include 9 for extended forwarding to outside number)

To DEACTIVATE remotely:

  • Depress Forward button on desk phone. (indicator will turn off) or
  • From any phone other than your desk phone:
    1. Call Telecommuting Access number. (listen for a dial tone)
    2. Enter Activation feature code #57. (listen for a dial tone)
    3. Enter extension, press #.
    4. Immediately enter security code provided by OIT, press #. (listen for a dial tone)

When forwarding to a cell phone, there may be a ring delay of 1 ring before you hear the ringing begin on your remote telephone, so you may consider requesting OIT add a ring to your station coverage path to allow time to answer remotely.

EC500 (Extension to Cellular)

The Extension to Cellular feature, allows calls to ring on your desk phone and cell phone simultaneously. This feature can be activated and deactivate remotely by calling the Telecommuting Access Number and following the steps below. IP Telephone users may request this feature for no additional charge; other telephone types can use the Extension to Cellular feature, but an additional monthly fee will apply. Note: To use 2 lines, user must have call waiting activated on the cell phone. Also, it is recommended that you do not use voicemail on your cell phone, since your voicemail might pickup before it rings enough times to follow coverage, OR record your cell phone voicemail to reflect Emory business. To ACTIVATE:

  • Depress EC500 button on desk phone (light on)
  • or
  • From any phone other than your cell (See Note below)
    1. Call Telecommuting Access number. (listen for a dial tone)
    2. Enter Activation feature code #95. (listen for a dial tone)
    3. Enter extension, press #.
    4. Immediately enter security code provided by OIT, press #. (listen for confirmation tone) You can leave it activated round the clock, but there may be times you wish to deactivate it for vacations.
  • Note: From your cell phone, follow the instructions above, but skip the 5 digit extension in step 3 (enter #95,#,security code,#)

To DEACTIVATE:

  • Depress EC500 button on desk phone (light off). or
  • From any phone other than your cell (See Note below)
    1. Call Telecommuting Access number. (listen for a dial tone)
    2. Enter Deactivation feature code #96. (listen for a dial tone)
    3. Enter extension, press #.
    4. Immediately enter security code provided by OIT, press #. (listen for a confirmation tone)
  • Note: From your cell phone, follow the instructions above, but skip the 5 digit extension in step 3 (enter #96,#,security code,#)

SIMULTANEOUS CALL APPEARANCE:

  • While activated, calls will ring simultaneously on both your office and your cell phone. A ring delay of 1 to 2 rings will occur before the call appears on your cell phone. To increase the time available to answer the call on the cell phone, a ring or two can be requested for your station coverage path from OIT.
  • Calls placed to Emory telephones from your cell phone while EC500 is active, will display the number and name from your office phone on their display, rather than your cell number.
  • While talking with an Emory telephone user on your cell phone, the call can be picked up on your desk phone and the cell phone call can be ended without loosing the call.

EXTEND CALL: While on a call, you may depress Extend Call to extend the call from your desk phone to your cell phone. When the call appears on the cell phone, you can hang up your desk phone without loosing the call. Note:The Extend Call button is only available from select telephones.
